The Requirements section helps you track, collect, and approve critical vendor documentation and forms, such as certifications, declarations, and audits. This guide walks you through how to view, monitor, and manage these requests from both a high-level and vendor-specific perspective.


πŸ—‚οΈ Requirements Overview

Navigate to the Requirements tab to see a card-based overview of each active requirement in your workspace.

Each card shows:

  • Title of the requirement (e.g. ISO 9001, Oeko-Tex, Reach Declaration)

  • Type: Document or Form

  • Completion rate across vendors (in % and absolute numbers)

  • Number of linked vendors (relations)

  • Schedule: E.g. On expiration or Yearly

This view gives you an at-a-glance understanding of your compliance status across the board.


πŸ“Š Detailed View: Vendor Compliance per Requirement

Click into any requirement card (e.g. ISO 9001) to view detailed progress:

Left Panel: Vendor Compliance

A donut chart displays:

  • βœ… Completed

  • 🟑 In Progress

  • ❌ Cancelled (if applicable)

Right Panel: Summary

  • Audience: Number of vendors this requirement applies to

  • Request Type: Document or form

  • Frequency: e.g. On Expiry, Recurring Yearly

  • Last Updated: Timestamp of the latest update to this requirement


🧾 Vendor Overview Table

Beneath the summary, you’ll see a Vendor Overview list:

  • Vendor name

  • Linked materials

  • Status:

    • Approved

    • Review

    • Requested

    • Draft

  • Info tags (e.g. In review for 29 days, Open for 33 days)

This allows you to identify which vendors are still pending, which submissions need follow-up, and how long items have been sitting in review.


πŸ” Reviewing Individual Submissions

Click on any vendor in the overview to open their submission. You’ll see:

Left Panel: Document Preview

A full view of the submitted certificate or form, including zoom and download options.

Right Panel:

  • Vendor name

  • βœ… Approve button (approve when complete)

  • Next renewal date

  • Certificate metadata:

    • ID

    • Issuer

    • Issue/Effective/Expiration dates

    • Scope

  • Current documents section for document version history and upload time

⚠️ If renewal dates are missing, you can manually edit them by clicking the pencil icon next to the field.


πŸ“† Recurring Requirements (e.g. Reach Declaration)

For forms like the Reach Declaration, Vendorvue will automatically reopen tasks based on the defined schedule (e.g. annually). The interface remains the same, but the recurrence is managed behind the scenes.

Vendors who have not submitted or completed their forms will show a status of Draft, Requested, or In Progress, along with a tag like Open for 33 days.


βœ… Tips for Effective Use

  • Use filters to narrow vendors by status for quick follow-up

  • Monitor review durations to identify blockers or delays

  • Encourage vendors to log into the portal for faster submission

  • Add renewal dates where applicable so Vendorvue reopens tasks automatically
